About

About OpsChiefs

OpsChiefs helps marketing agencies of about 10 to 50 people fix how they run, so the same team can take on more clients. Automation and AI come on top.

A lot of the hours an agency loses are spread across small jobs, like status checks and reports built by hand. That work rarely shows up in any report. It's also the first thing AI and automation can take off the team, once the ground under it is in order.

A small agency should run on the same principles, processes and systems as a large one. That's the job: the structure big agencies get from extra headcount, built into a team your size, so AI has something solid to work with.

From the founder

Hi, I'm Dan.

For 8 years I've been a software engineer building software and infrastructure for agencies, including marketing agencies.

I want to help agency owners open up new, fast growth in their business.

What I've built

Work for agencies, before OpsChiefs

Two projects from my own work. Client names stay private.

Inside a marketing agency

A conversion-rate optimization agency

For 3 years I built systems inside a conversion-rate optimization agency: experiments across 99 client projects, their homepage lead funnel, and the ClickUp setup the team runs on.

I set up ClickUp around one shared record per client, a status pipeline every task moves through, and internal alerts, so work stopped depending on someone remembering to check.

Software for marketing agencies

Analytics software for marketing agencies

A software company that gives marketing agencies one dashboard for all their ad platforms. I pulled the data from every platform into one warehouse and brought it into one consistent shape.

Then I built an internal AI support agent. When a user asked a question, it searched the company's Jira and Confluence (their task tracker and internal wiki) and answered from what it found.

Data first, AI second. It's the same order we use with agencies.

How we think

Four rules we work by

  • Operations before AI

We get work, client data and statuses in order before we add AI. Otherwise AI only makes the mess move faster.

  • Before and after, in hours

Every change starts with a count of the hours that step takes today. That way the result is a number, and nobody has to take our word for it.

  • Built to be used

A fix only counts if the team still uses it a month later. We build inside the tools and routines your team already has.

  • AI that answers from your own data

AI is useful when it works from your agency's real records, not from guesses. We connect it to your data and keep a person checking the output.

The free sprint

How the four weeks go

  1. Week 1

    Map how the agency runs

Short calls with you and whoever runs delivery. We map who owns what, where client data lives and how a client project moves from launch to report.

  2. Week 2

    Rank what to fix

A list of where automation and AI would save hours, each with a rough count of hours per week, and what has to be fixed first.

  3. Weeks 3 and 4

    Build one, plan the rest

One automation built and working in your own tools, plus a 90-day roadmap for everything else.
